    Position Purpose

    • The purpose of the Operations Coordinator is to support all operational departments by project set-up and coordination requirements, timesheet entry, paperwork validation and various other responsibilities to ensure successful project mobilization, staffing, demobilization, and project analysis reporting.

    Duties and Responsibilities

    • Perform the ADP time entry and project coding for all operational employees in preparation for manager approval, with absolute assurance over data submission and coding accuracy; this includes printing, date stamping, data review and entry, and filing of all timesheets.
    • Perform quality control review of all field documentation including but not limited to timesheets, reader sheets, customer specific backup, and other required paperwork.
    • Responsible for the complete and accurate tracking and reconciliation of project expenses and support in the system.
    • Assist Operations and Project Managers in day-to-day coordination and management of business operational and project management activities
    • Coordinate and assist all work order set up requests according to the project reporting hierarchy requirements of both Project and Customer Management including entry and update in the company ERP system; follow and submit requests for project order setups.
    • Responsible for the generation of simple project data reports upon the request of management.
    • Coordinate all mobilization and demobilization activities including travel arrangements such as flight and vehicle bookings, visa requirements, and technician communications.
    • Coordinate the purchase request and recording for operational and/or project related purchases in the system.
    • Contact for Regional Directors and Division Managers; assisting and supporting their inquiries and maintaining communication with them.
    • Other clerical duties as required including but not limited to maintaining files, copying, scanning, and other required duties.
    • Assist with shipping and receiving requests for the office.
    • Send complete and accurate billing packages to the Shared Services Processing center and answer any questions they have regarding documentation support.
    • Follow and enforce Company policies at all times.

    • Enforce and abide the requirements of safe operation and personal safety using required Personal Protective
    • Equipment and Safe Practices per company policy
    • Perform all other duties as assigned.

    Knowledge and Skills

    • Must have working knowledge of MS Office Suite of products.
    • Must have working knowledge of ERP systems and/or Project Planning applications.
      Ability to review and understand field paperwork and how it relates to customer contract and billing requirements.
    • Understanding of project hierarchy system structure.
    • Ability to data mine and apply root-cause analysis.
    • Detail orientated, and deadline driven.
    • Strong organizational, multi-tasking, and problem-solving skills.
    • Effective communication skills, both verbal and written, to diverse groups of people.

    Education and Work Experience

    • Minimum 3 years of applicable operational experience in  a service industry.
    • Minimum 2 years of applicable experience working in a project ERP system, and/or project planning and scheduling system / software.
    • Bachelor’s Degree (BA/BS) in a related business course , preferred.

    Working Conditions
